NOTICE TO DETACHMENT PAYMASTERS  

PLEASE LOOK AT THE TRANSMITTALS FROM NATIONAL 

When you receive your pink copy of your transmittal back from National, please take time to compare it to your canary copy of the transmittal.  You may see items that were added if they were missed or items that were corrected.  I made these changes for you to save time in processing the transmittals.  If you have any questions, please contact me at mikedazobd@earthlink.net 

TRANSMITTAL FORMS:

The following items represent typical errors or missing items I have found on Transmittal Forms.  Please use this list as a checklist or reminder of items to be included on your next transmittal.  If you have any questions, please contact me at mikedazobd@earthlink.net

·         The most often asked question is about renewal of members who are less than one year behind in their dues (i.e. their name is found in the top section of your Quarterly National Roster)

REMEMBER that dues are renewed based on each members RENEWAL DATE, not for one year from the date the payment is made. 

For example, if a member is paying his dues in October and he is six months behind (his renewal date is in April), then his dues are being paid from his renewal date in April for one year, or until the end of next March.

·         For members who are over one year behind in their dues and are not included on the National Roster; use the code "R / I" for renewal of these delinquent members. 

Since the member is over one year past due – their renewal fee is $23.00(the same amount as for a new member)

Also, once a year, National will send each detachment a list of members who are over one year behind in their dues.  If you do not have copies of your older national Rosters, then this list is where you can find their membership number.

·         Members who want to become a Life Members MUST be in good standing; i.e. current in their dues.  They CANNOT use their application for Life member as a way to pay their dues when they are behind in their payments.  See above for how to pay dues that are not current.

·         Your Detachment Name - this is an often missed item because the transmittal form does not have a line at the top of the form to write the detachment name on.

·         Zip Plus Four is required for each name on the transmittal form.  This information is easily found on the internet at http://zip4.usps.com/zip4/welcome.jsp. 

Also, please remember that for a renewal of an active member, most of the time the Zip Plus Four can be found on your Quarterly National Roster.

·         Other items that are often left of the Transmittal Forms:

o    The member's Number

o    Check numbers for National and Department

o    The correct count for each code at the bottom of the form.

o    The Detachment Paymaster's signature

·         Department Dues – several times I have found this amount left off the Transmittal Form.  Please remember that Department Dues are $3.00 for each member included on the transmittal EXCEPT for:

o    Life Member – there are NO Department Dues required for Life Membership

o    Transfer Member in good standing – To be in good standing, the members dues have to be current.  Therefore, additional dues are not required.

o    Change of Address – the member should be in good standing when reporting their new address.  If they are behind in their dues, then have them include a renewal fee with their change of address notification.

REPORT OF OFFICERS INSTALLATION FORM:

·         Please remember to submit your Report of Officers Installation form to the Department Adjutant.  AND, please send a copy to your Department Paymaster.

As your paymaster, having a copy of the Report of Officers Installation form gives me up to date contact information for your Detachment Adjutant and Paymaster so I can send important information such as Detachment Voting Strength and Delegates.

·         You do not have to send any renewal fees with your Report of Officers Installation form.
